Booking policies

What is your cancellation and rescheduling policy?

Cancellations or rescheduling may be made at least 7 days (168 hours) before your scheduled session without a cancellation fee.  If you cancel or reschedule less than 7 days before your session, a 50% cancellation fee will apply.  If you cancel or reschedule within 24 hours of your session, a 100% cancellation fee will apply.  Any applicable cancellation or rescheduling fees will be charged to the credit card on file, plus a 4% credit card processing fee.

How many sessions can I reserve at one time?

Clients may have up to 4 active session reservations at a time.
If you would like to reserve more than 4 sessions in advance, additional reservations may be secured by prepaying the full session fee.  Prepaid reservations made beyond the 4-session limit are final and cannot be cancelled, rescheduled, or refunded.

Is there a different reservation policy for November?

Yes. November is NV Factory’s busiest month of the year, and all November reservations require full prepayment at the time of booking.  Once a November reservation has been confirmed and paid, it is final and cannot be cancelled, rescheduled, or refunded.  November reservations are an exception to our standard cancellation and rescheduling policy.

Planning Your Session

How much time should I book?

Book enough time for everything you plan to do in the studio—setup, sound check, warm‑up, recording, playback, and any in‑session editing. For example, if you book 12 - 2 PM, all studio work happens within those two hours. Not sure how much time you need? Contact us before booking and we’ll help you estimate.

Is there a room where I can warm up beforehand?

Yes. A separate warm‑up room can be reserved for $20 per 30 minutes, subject to availability. This is ideal if you’d like to be fully warmed up before your recording starts.

Can more than one artist record during the same reservation?

Yes. You can share a session with multiple musicians or vocalists. Just keep in mind that switching between different setups (instruments, ensembles, or vocal styles) takes time for microphones, cameras, and levels to be adjusted, and that time is part of your reservation. If you need separate recording/mixing setups, we can add an additional setup for $40.

Is parking available?

Yes. NV Factory has ample parking behind the building for clients and guests.

Can I request Sean for my session?

Yes. Sean may be requested as your engineer/producer for an additional $50 per hour, subject to availability. We particularly recommend requesting Sean for sessions involving detailed production decisions, intensive classical editing, or sessions where additional artistic and technical direction would be helpful.

Before You Arrive

How early should I arrive?

We recommend arriving about 15 minutes before your session. You’re welcome to relax or prepare in our lounge before your booked studio time begins. Microphone setup, sound check, and recording all happen within your reserved time.

Can I change clothes at the studio?

Yes. You can use the restroom or, when available, a small private room for changing. If your video session involves several wardrobe changes, let us know in advance so we can plan the session efficiently.

Can I add more studio time if I need it?

Usually yes. If there’s no session immediately after yours, you can extend in 30‑minute increments at the applicable rate, subject to studio and engineer availability.

Can we edit during the recording session?

Yes. Simple take selection and basic edits can often be done during your session. For more intensive editing or detailed production work, we recommend scheduling dedicated time with Sean.

What is included in post‑production?

Standard post‑production is included in your session fee. If your project includes both audio and video, we finalize them together as part of the production—there’s no separate standard post‑production fee.




How often is the Steinway concert grand tuned?

Our Steinway concert grand is professionally maintained and typically tuned every 2–3 weeks. Because tuning is affected by temperature, humidity, and use, it may not always be tuned immediately before your specific session.

Can I request a fresh piano tuning for my recording day?

Yes. A professional tuning on the day of your session can be arranged for $150. Advance reservation is required so we can schedule the tuner before your session.




How soon will I receive my finished files?

Standard finalized files are usually delivered within 3 days of your recording session via WeTransfer.

What if I need my files sooner?

We offer a 1‑Day Processing Option for $50. You can receive up to 5 selected takes within one day of your session; remaining materials follow the standard 3‑day schedule.

Can I take the original recording files with me?

Yes. If you’d like the original recording files, let us know. You can take them with you, and we’ll still deliver your finalized audio and video separately according to the normal schedule.
